Online and offline privacy practices

Scope This policy covers information collected through AI Insiders websites, applications, applications/nominations, membership programs, events, newsletters, media programs, surveys, introductions, CRM tools, and related offline interactions.
1. Who We Are

2. Information We Collect

Identifiers and contact information, such as name, email, phone number, mailing address, social handles, and account identifiers.

Professional and profile information, such as employer, title, company, LinkedIn or website URL, biography, industry, vertical, expertise, interests, and photos.

Application, nomination, survey, event-registration, feedback, sponsorship, and partnership information, including free-text responses and referral information.

Commercial and transaction information, including ticket, sponsorship, membership, invoice, payment-status, and purchase-related records. Payment card data may be processed by third-party payment processors rather than stored directly by us.

Internet, device, and usage information, such as IP address, browser/device characteristics, cookies, pages viewed, referral URLs, analytics events, and interactions with emails or content.

Event and media information, including attendance, check-in, photographs, audio/video recordings, speaker content, questions, and, where disclosed and permitted, networking or engagement activity.

Communications, including emails, support requests, meeting notes, and other messages.

Inferences and scores we may derive for legitimate operational purposes, such as engagement, program fit, interest areas, event recommendations, or prioritization, subject to applicable law and our internal access controls.
3. Sources
We collect information directly from you; from people who nominate, refer, or introduce you; from event, ticketing, CRM, email, video, analytics, identity, payment, calendar, and communications providers; from your organization; from publicly available professional sources; and from partners or service providers where permitted by law.
4. How We Use Information

Evaluate applications, nominations, membership, speaking, event, partner, and sponsorship opportunities.

Curate rooms, events, introductions, content, and recommendations.

Manage accounts, registrations, contracts, payments, invoicing, and customer support.

Send transactional communications and, where permitted, marketing, newsletters, invitations, and program updates.

Produce events, recordings, editorial content, reports, surveys, market maps, and aggregated or de-identified insights.

Detect fraud, abuse, unauthorized scraping, security incidents, and policy violations.

Comply with law, enforce agreements, and protect rights, safety, and property.

Use AI-assisted tools for drafting, summarization, matching, classification, research support, and operational workflows, subject to access controls and human review where appropriate.
5. How We Disclose Information
We may disclose personal information to service providers and contractors that help us operate the Services; event venues and operational vendors where needed to deliver an event; payment, email, CRM, analytics, cloud, ticketing, identity, security, and media providers; professional advisers; authorities when legally required; and parties to a corporate transaction. We may disclose limited information to sponsors, partners, or other participants only as described at collection, with your direction or consent, or otherwise permitted by law. We do not provide unrestricted attendee or member contact lists merely because an organization sponsors an event.
6. Sale, Sharing, and Targeted Advertising
Our practices may evolve as our advertising and analytics stack changes. If our use of advertising technologies constitutes a "sale" or "sharing" of personal information under applicable U.S. state privacy laws, we will provide any required opt-out mechanism and honor legally recognized opt-out preference signals where required. We do not knowingly sell personal information for money.
7. Cookies and Similar Technologies
We and our providers may use cookies, pixels, local storage, SDKs, and similar technologies for authentication, preferences, security, analytics, performance, and, if enabled, advertising. See the AI Insiders Cookie Policy for additional detail and available controls.
8. Retention
We retain personal information for as long as reasonably necessary for the purposes described in this policy, including maintaining program history, honoring opt-outs, resolving disputes, enforcing agreements, complying with legal obligations, and protecting security. Retention periods vary by data type and relationship. We may retain de-identified or aggregated information where permitted by law.
9. Security
We use administrative, technical, and physical safeguards designed to protect personal information. No system is completely secure, and we cannot guarantee absolute security. Access to sensitive or member-only information should be limited by role and business need.
10. Your Choices and Privacy Rights
Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or information about our processing; to opt out of certain sale, sharing, targeted advertising, or profiling; and to appeal a decision. California residents may have rights to know, delete, correct, opt out of sale or sharing, limit certain uses of sensitive personal information, and receive nondiscriminatory treatment where the CCPA applies. We may need to verify your identity before completing a request.
11. Marketing Communications
You may unsubscribe from marketing emails using the link in the message or by contacting us. We may still send non-marketing messages necessary for your account, application, registration, contract, security, or other existing relationship. We will process commercial-email opt-outs as required by applicable law.
12. Event Photography, Recording, and Confidential Rooms
Some AI Insiders events are photographed or recorded; others may be designated confidential, off-the-record, or subject to Chatham House-style rules. The applicable event registration terms, signage, moderator instructions, and releases control. We do not treat a private-room discussion as public merely because a participant attends an AI Insiders event.
13. Children
The Services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Services.
14. International Users
If you access the Services from outside the United States, your information may be processed in the United States and other countries where we or our service providers operate. Where required, we will use appropriate contractual or other safeguards for cross-border transfers.
15. Changes
We may update this policy. The effective date above indicates the current version. Material changes will be communicated as required by law.

AI Systems, Recording, and Restricted Contexts
AI Insiders may use approved automation and AI-assisted tools for operational tasks such as application routing, matching, summarization, support, analytics, or content workflows. We do not authorize private-room or confidential-session recording, transcription, biometric processing, voice cloning, or third-party AI note-taking merely because an event is hosted by AI Insiders. Separate notice, permission, and any legally required participant consent must be obtained for those activities.
We may prohibit vendors and partners from using personal information received from us to train or improve general-purpose models, build unrelated profiles, enrich external databases, or contact participants outside the authorized purpose unless the individual has separately consented or the use is otherwise legally permitted and contractually approved.
Consent and Preference Evidence
We may keep records showing privacy notices presented, consent or opt-out choices, marketing preferences, event media choices, sponsor lead-sharing choices, and the version and time of those choices so we can honor and demonstrate the applicable preference.
